You can create different Leave Types with various rules according to the leave policies in your organization.


1. Creating a Leave Type


  1. Under Manager section in the side menu, click on Settings.
  2. Click on Leave Types.
  3. Click on New button.
  4. Edit options as described below and click on Save.


2. Leave Type Options


SnapHRM gives you following options with each Leave Type:

Description
Gender
  • Male - Leave type can only be used by Male employees. Female employees will not be able to apply for leaves with this leave type.
  • Female -  Leave type can only be used by Female employees
  • Both - Leave type can be used by both Male and Female employees
Count

Number of leaves of this type given to each employee per year. For example, your company may give 10 sick leaves per year
Max leaves per month
The maximum number of leaves of this type an employee can take per month. If an employee takes more than this in a month, then those leaves are evaluated on the basis of Overutilization Rules described later in this table.


TIP: Leave this field blank if you want to ignore this rule.
Max consecutive leaves per month
The maximum number of consecutive leaves of this type an employee can take per month. For example, you can configure that an employee can only take 3 consecutive Casual Leaves in a month. So, if an employee takes 5 consecutive casual leaves, then 2 leaves will be counted as overutilization.

If an employee takes more consecutive leaves than this in a month, then those leaves are evaluated on the basis of Overutilization Rules described later in this table.

TIP: Leave this field blank if you want to ignore this rule.
Allowed in Probation
Check this if you want to allow employees in Probation to apply for leaves of this type.
Allow Half Day

Check this if you want to allow half day leaves for this type. For example, you may want to allow a half day for sick leaves, but not for casual leaves.
Allow Intervening Holidays
Determines how intervening holidays are evaluated. If this option is not checked, then intervening holidays are also counted as leaves.


For example, consider that you have Saturday and Sunday as holiday and an employee applies for leaves from Friday to Monday

  • If this option is checked, then 2 leaves will be counted.
  • If this option is not checked, then 4 leaves will be counted


SnapHRM first calculates total applied leaves according to this rule and applies other rules after that.

Overutilization
This option tells how the overutilization of this leave type is handled:

  • Unpaid: Extra leaves will be considered unpaid leaves and added to unpaid leaves of that month. Unpaid leaves are later considered during Payroll calculation.
  • Paid: Extra leaves will be considered as paid leaves. This means that the employee will be paid for those leaves and no deduction will be made for salary for that month.
  • Other Leave Type: Extra leave type will be deducted from the Overutilization Leave Type. For example, you may configure that extra sick leaves will be counted as casual leaves. So, you will select Casual as Overutilization Leave Type.
  • Ask: Manager will be asked how many leaves are to be made unpaid while approving the leave application.


If an employee has 3 sick leaves left and he applies for 5 sick leaves, then 3 sick leaves will be deducted as normal and 2 will be counted as overutilization.

Unused Leaves
Determines how the unused leaves are treated at the end of the year.
  • Carry Forward: Unused leaves will be added to next year leaves. 
  • Lapse: Unused leaves will simply lapse and no action will be taken.
  • Paid: Employee will be paid salary of the number of days equivalent of unused leaves.
Status
Enable/Disable a leave type. A disabled leave type is not visible to employees while applying for leaves.


3. Editing a Leave Type


ImportantWhen you edit a leave type, all the previous leave applications and attendance of all the employees get recalculated. As a result, you may not see Leaves Remaining and Unpaid Leaves as expected. To avoid this, create a new leave type with the same name, and Disable the current leave type.


  1. Under Manager section in the side menu, click on Settings.
  2. Click on Leave Types.
  3. Select the leave type you want to edit by clicking on its row.
  4. Click on Edit button.
  5. Edit options as described above and click on Save.


4. Deleting a Leave Type


ImportantDeleting a leave type cannot be undone and may result in unexpected loss of data. It is recommended to Disable a leave type instead.


  1. Under Manager section in the side menu, click on Settings.
  2. Click on Leave Types.
  3. Select the leave type you want to delete by clicking on its row.
  4. Click on Delete button.
